How To Check A Used Printer For Common Problems Before Buying

A used printer looks like a simple purchase. It either prints or it doesn't, and you can see that in about thirty seconds. That assumption is what costs people money.

Printers are consumable machines. Almost everything that decides their remaining life sits inside them: a drum with a fixed service life, a fuser that runs hot enough to melt powder into paper, rubber rollers that harden with age and counters ticking quietly towards a maintenance message you cannot dismiss. None of it shows on the outside. A printer that has produced 400,000 pages can look identical to one that has produced 4,000, and the person selling it has no reason to point out the difference.

Most used printers in the UAE come out of office clearances. A company downsizes, relocates, upgrades its fleet, or closes, and the hardware leaves the building in a hurry. Plenty of those machines are excellent buys, because commercial printers are built to be repaired and often have years of work left in them. Others left the office because something broke and nobody wanted to pay for the part. Telling the two apart takes about fifteen minutes, if you know what you are looking at.

Why the asking price is the smallest number in the deal

A mono laser at 300 dirhams sounds like nothing. Then you discover the toner it takes costs 250, the cartridge in it is nearly empty, and the maintenance kit falls due at 200,000 pages while the counter reads 197,000. That kit contains the fuser, which is usually the most expensive single part in the machine. You did not buy a 300 dirham printer. You bought a 900 dirham printer with a delay built into it.

Every laser has wear parts with counters attached: drum, fuser, transfer roller, pickup rollers, and on colour machines a waste toner box and a transfer belt. Ignore those and the price you agreed on is fiction.

Small business buyers get caught by this more often than home users, simply because they buy bigger machines. A departmental printer that a company retired was usually retired for a reason, and the reason is often that the service quote came in higher than the cost of replacing it.

So before you examine anything else, work out roughly what the machine will need in the next six months and add it to the asking price. If that combined number still beats a new printer of similar capability, carry on. If it doesn't, walk away early, before you get attached to the bargain.

Start with the page count, the one number nobody can dress up

Printing a configuration page

Any laser printer worth buying can print its own status page without being connected to a computer. On most HP machines it sits under Reports or Information, and on older models you hold the Go or Resume button for a few seconds. Brother, Canon, Kyocera, Ricoh and Xerox all have an equivalent buried under Reports, Menu Map or Counters.

That page gives you the total pages printed, often split between single sided and duplex, and usually the remaining life on toner, drum and maintenance items as percentages. It is the printer's own account of itself, and no seller can polish it.

Reading the number in context

A count of 80,000 pages means nothing on its own. On a small desktop laser designed for a few hundred pages a month, it describes a machine that has been worked half to death. On a 40 page per minute workgroup unit built for a busy office, it is barely broken in.

This is the part people get backwards. A big, heavy, unglamorous ex-office printer with a high count is frequently the better buy compared with a clean little home printer with a low one. The heavy machine has a metal frame, a design meant to be opened, and parts you can still order. The small one was engineered down to a price and was never meant to be repaired at all.

Why inkjets age differently

Inkjets have counters too, usually reachable through a maintenance report or the manufacturer's utility software. But the figure that predicts an inkjet's death is not pages printed. It is time spent doing nothing.

Ink dries. A printhead that has sat unused for six months in a hot storeroom, and an unairconditioned storeroom here in August is effectively an oven, can be blocked solid. If the head is built into the cartridge, as it is on most HP and Canon models, you fix that by buying a cartridge. If the head is fixed inside the machine, as it is on Epson, Brother and nearly every ink tank model, a bad blockage can finish the printer off. Cleaning cycles burn ink and frequently fail to clear it.

Ask when it last printed. Then make it print, in colour, while you stand there.

Make the printer produce evidence, not a demo page

Sellers demonstrate one page of black text. Black text on plain paper conceals almost every fault a printer can have.

Ask instead for a page with large solid black areas, some mid grey shading, small text, and a border running to all four edges. Better still, print the machine's own print quality report or nozzle check, which exists precisely to expose defects.

Then read the page the way a technician would:

  • Streaks or bands running down the length of the sheet usually point to the drum or the laser scanner unit.

  • A mark that repeats at even intervals down the page is a damaged roller, and the distance between the marks identifies which roller it is.

  • Toner that smudges when you rub it with your thumb means the fuser is not reaching temperature. That is the expensive fault, and it hides easily in a printer that has been left switched on and warm all morning.

  • A grey haze across areas that should be white suggests a tired drum, or cheap toner that has contaminated the machine.

  • Missing or wrong colours from an inkjet mean a blocked head. The cleaning cycle the seller runs in front of you buys time, it does not repair anything.

One page proves very little. Ask for twenty in a row. Faults that appear only once a printer is hot are exactly the faults a five minute viewing is designed to keep from you, and a seller who will not let the machine run for ten minutes has already told you something.

The paper path fails long before the electronics do

Rubber hardens and turns glassy with age and heat. Pickup rollers lose their grip, separation pads wear flat, and the printer starts pulling two sheets at once, or none, or feeding them crooked. This is the most common complaint from people who bought a used printer that "worked perfectly when I tested it", because they tested it with three sheets of paper sitting in a tray built for 250.

Fill the tray properly. Feed from every tray the machine has, including the bypass slot, and run a duplex job.

Listen while it works. A healthy printer sounds boring. Grinding, knocking, a rising whine, or a clunk on every sheet suggests gears, clutches or solenoids, and those cost real money in labour even when the part itself is cheap. An occasional failure to pick up a sheet is usually just rollers, which are inexpensive and often a ten minute job. Learning to tell those two sounds apart is most of the skill.

Dust deserves its own mention here, given where we live. A printer that has spent three years in a workshop or a warehouse in Al Quoz has fine sand and paper dust through its insides. Open the toner door and look. A grey film over everything, with toner spilled across the rollers, means the machine has been leaking cheap toner into itself and nobody has cleaned it out.

On a multifunction, you are buying two machines and being shown one

The scanner and the automatic document feeder fail independently of the print engine, and hardly anyone tests them.

Put a sheet of text on the flatbed glass and scan it, then send the same sheet through the ADF and compare the two files. A line running down every ADF scan but not the flatbed scan means the narrow strip of glass the feeder scans through is either dirty or scratched. Dirty is a wipe with a cloth. Scratching is permanent.

Send five or six sheets through the feeder at once. It should take them one at a time, straight. If it grabs two together or pulls them in skewed, the separation pad is worn. For an office that scans contracts or invoices daily, that is not a small annoyance.

Check the lid hinges, look for cracks in the scanner glass, and open the feeder cover to see whether anything inside is missing. People snap ADF flaps and rollers, and those small plastic parts are surprisingly hard to source for older models.

Find out what the machine eats before you agree a price

The cartridge decides whether a cheap printer is actually cheap.

Note the exact model and cartridge number, then check what that cartridge costs here and how many pages it is rated for. Divide one by the other and you have your running cost. A colour laser that takes four cartridges at 300 dirhams each is not a bargain at any purchase price if you print in any volume. I have watched a small office buy a colour workgroup machine for less than the price of a full set of toners for it, then leave it switched off in a corner for a year.

Check availability as well as price. Some discontinued models take a cartridge that nobody in Dubai or Sharjah stocks any more, which means ordering it in and waiting every single time you run out. That is a slow, quiet way to regret a purchase.

Look at what is loaded in the machine right now. A refilled cartridge with a shop sticker on it tells you how the previous owner treated the printer. Poor toner is abrasive, it leaks, it shortens drum life, and it makes a mess of the inside of the machine.

One last thing that catches people out. Several manufacturers push firmware updates that reject compatible cartridges. If your plan depends on cheap cartridges, put one in and watch the screen before you hand over any money.

The details people forget until the printer is already in the car

  • Check the voltage label on the back. Machines imported from the United States or Japan are built for 100 to 120 volts, and UAE mains is 220 to 240. Plug one in without a step down transformer and you will hear it die.

  • Ex-office printers usually carry an administrator password on the web interface, static network settings pointing at a company that no longer exists, and sometimes an address book full of a stranger's contacts. Ask for a factory reset while you watch.

  • Drivers matter more than people assume. An old model with no current Windows or macOS support is a paperweight, so check before you pay rather than after.

  • Test the wireless on a phone hotspot if the seller's network is not available. "The Wi-Fi works, it just needs setting up" is a sentence I have learned to distrust.

  • Look for the event log or error history in the service menu. Many laser printers keep a record of hardware faults, and a machine that behaves for ten minutes may have logged the same error a hundred times.

  • Replacement paper trays cost far more than anyone expects and are often unavailable for discontinued models, so count what is actually in the box.

  • Ask the seller not to switch the printer on before you arrive. You want to watch the cold start, hear the motors, and see any error that flashes up during initialisation before it clears.

Where you buy changes what you are risking

Buying from a private seller in a car park is the cheapest route and it comes with no recourse whatsoever. If the fuser dies on Tuesday, it is yours.

A dealer who refurbishes and offers even thirty days of cover has almost certainly opened the machine, cleaned it, and replaced the pickup rollers already, because it is cheaper for them to do that than to handle returns. You pay a premium for that, and the premium is usually smaller than the cost of a single fuser. Shops that keep refurbished printers, PCs and displays in stock will normally tell you what was serviced if you ask them, and the way they answer tells you whether anyone actually looked inside.

Ask two questions. What did you replace, and what happens if it fails next week. Vague answers to either are an answer in themselves.

The signs that should end a viewing

Some faults are not worth negotiating over. Toner that rubs off the paper. A seller who prints one page and then finds reasons not to print another. A service message on the display waved away as "you can ignore that". Screws missing from a machine that has clearly been opened. Any smell of burning, any corrosion or water staining inside, any missing serial number plate.

And the most common one of all: "it just needs a new cartridge", said about a printer with no cartridge in it. Perhaps that is true. You have no way of finding out, and the cartridge will cost more than the printer.

Match the machine to the work you have

Every check above asks the same question in a different way. How much working life is left in this machine, and how hard are you going to push it? A workgroup laser with 150,000 pages on the counter and a clean paper path will serve a small office in Sharjah for years. A pretty home inkjet that has been sitting in a cupboard since last summer may not survive the week, no matter how new it looks.

Fifteen minutes with a configuration page and a full tray of paper will tell you more than an hour of conversation with the seller.

The used market is likely to get more interesting rather than less. Manufacturers keep tying cartridges to firmware, pushing subscription ink, and building machines that were never designed to be opened up. That makes the older, heavier, repairable office printers more attractive, because they are the ones you can still get parts for. It also means these checks matter more than they used to, since a locked or unsupported machine is now something you can buy by accident. Learn the routine once and it pays for itself on the first printer you decide not to buy.
